Manage the Speak Life office so that the creative department is released to concentrate on their ministry. To help with smooth running of office activities, keep account of Speak Life finances participate in the future planning of events and act as secretary to the Trustees.
Responsibilities and Duties
ADMINISTRATION 50% of your time (2.5 days per week)
To ensure the smooth running of a busy office – developing procedures, keeping records and protocols for the benefit of all.
Undertake administration and secretarial duties as requested.
Act as Secretary to the Trustees – in conjunction with the chairperson, attend meetings, take and distribute minutes. produce & distribute agendas, along with any reports required.
Liaise with CEO & OD as to future planning of the Speak Life activities – including functions, AGM, fund raising events.
To help coordinate our mission activities, including liaising with on site mission coordinators, agreeing all transport and hospitality arrangements.
To help with the administration of the Foundry as required by the director.
Oversee management of the building, arranging for repairs, cleaning and office contracts for office equipment.
Arrange for writing, designing, printing and distributing the Speak Life prayer bulletin and other appeal material agreed with OD.
DATABASE20% of your time (1 day per week)
Maintain and develop our database as well as helping the OD with all aspect of donor relations
Keep the database up to date with all the relevant information about supporters
Keep/Research real life transformation stories to be used in fund raising and other promotional literature
FINANCE 30% of your time (1.5 days per week)
To look after all the all aspects of the organisation’s finance, ensure accurate financial reports are available and maintain and develop financial systems in keeping with the requirements of the organisation.
Maintain, manage and develop our financial systems
Maintaining the purchasing and payments systems, processing invoices and bank payments and reconciling bank and supplier statements
Processing all income, ensuring it reconciles with the income database, and bank cash and cheques on a weekly basis
To develop internal systems for income and expenditure
Oversee the petty cash account
Cooperate with the OD & CEO to produce annual budget
Produce reports as required for OD & CEO and Trustee meeting
Support fundraising activities
Ensure compliance with financial policies and procedures by all members of staff
Participate in all areas of Speak Life activities when asked to do so by the OD or CEO
You’ll need to have:
Excellent organisational and time-management skills along with strong IT and work well within a team.You will need to be able to manage your workload, work under pressure as well as having oral and written communication abilities.A familiarity with legislation in the areas of charity law, and data protection – would be useful, but not essential.
As well as a competitive salary of between £26,000 – £28,000, depending on experience, we offer a collaborative work environment; a generous annual leave allowance of 20 days plus bank holidays, centre closure between Christmas and New Year, additional leave for long service along with pension contributions.
